Rebuild the Full Text Index Database
If you notice that your keyword (full-text) searches in DocRecord are not working as expected, you may need to rebuild your full-text index database. Depending on the size of your database, this may take a considerable amount of time so please be sure to perform this procedure during a non-busy period (e.g. over the weekend).
Below are the steps to rebuild the full-text index database in DocRecord:
- First, stop the DocRecord Document Service in the Windows Services list. Please note that this step will disconnect any users currently logged into DocRecord.
- On the server where DocRecord is installed, locate the folder containing your full-text index database ("C:\Program Files (x86)\Prism Software\DocRecord\Index" by default). Rename this "Index" folder to something else (e.g. "Index_OLD").
- Start the DocRecord Document Service, which should recreate the "Index" folder and reset it to a clean install state.
- Browse to the "\Server\Tools\Indexing" folder of the DocRecord installation directory ("C:\Program Files (x86)\Prism Software\DocRecord\Server\Tools\Indexing" by default).
- Locate the "Rebuild Document Index.exe" executable, and right-click on it and select "Run as administrator".
- When the command prompt window opens and you are prompted for a "Starting Document ID" value, please leave it blank and press "Enter" on the keyboard to proceed.
- The progress should appear in the command prompt window, indicating when the process is complete.
- Once complete, you can close the command prompt window and resume use of DocRecord.
