Upgrading to DocRecord v4.1

This article assumes you are upgrading from DocRecord v3.4.  If you are upgrading from an earlier version of DocRecord, please contact sales@prismsoftware.com to request a quote for professional assistance on this upgrade.

Upgrade Preparations

Before upgrading, please make note of the following information:

  1. Installation Directory – Note down the folder path in Windows where DocRecord is currently installed to as you will need to select this same directory during the upgrade process.

  2. Server Configuration – You can find out the existing database server configuration using the DocRecord Server Manager by going to "Start > Programs > Prism Software > DocRecord > Server Manager".  In the "Tools > Server Configuration" section, make note of the SQL Server and Authentication Method fields.

  3. Service Accounts
    • DocRecord Document Server – In the Windows Services list, locate the DocRecord Document Server service.  Right click on it, go to Properties, and then the "Log On" tab.  Make note of the Log On properties (including any specific user account and password information) as you will need to reconfigure this information after the upgrade.

    • DocRecord Automation Server – In the Windows Services list, locate the DocRecord Automation Server service.  Right click on it, go to Properties, and then the "Log On" tab.  Make note of the Log On properties (including any specific user account and password information) as you will need to reconfigure this information following the upgrade.

  4. Installed DocRecord Components – In the Add/Remove Programs list in Windows, please note down all DocRecord components that are currently installed.  You will need to select these components during the upgrade process.

As a safety precaution, it is strongly recommended to make a complete backup of the entire DocRecord system prior to attempting the upgrade. Please see: What do I need to backup for DocRecord?

Upgrade Instructions

  1. Uninstall all applicable DocRecord components from the Add/Remove Programs list of Windows:

    • DocRecord Advanced Viewer
    • DocRecord Automation Server
    • DocRecord Database
    • DocRecord Desktop Client
    • DocRecord Document Server (in older versions, this may be listed as "DocRecord Server")
    • DocRecord Index Station
    • DocRecord OCR and Barcode Recognition
    • DocRecord Office Extension
    • DocRecord Web Server

  2. Delete the entire "C:\inetpub\wwwroot\DocRecord" directory if it exists.

  3. If applicable, right click on the properties of the downloaded ZIP file and unblock it, and then click "OK".

  4. Extract the entire ZIP file to a local folder and run the "setup.exe" wizard, following the instructions in the "DocRecord Installation Guide" PDF file.  Please be sure to provide the information you noted during the Upgrade Preparations section where appropriate. 

  5. After the wizard has completed, please go into the Windows Services list and change the DocRecord Document Service and DocRecord Automation Service properties to use the same "Log On" tab settings noted during the Upgrade Preparations section.

    Note: You will need to restart these services in order for the log on changes to take effect.

  6. Open the DocRecord Server Manager ("Start > Programs > Prism Software > DocRecord > DocRecord Document Server > Server Manager") and go to “Tools > Server Configuration”.  Click on the “Other Settings” tab, and set the “Thumbnails Path” field to the desired storage location (or leave the default path).  Then click “OK” and close the DocRecord Server Manager.

  7. Go into the Windows Services list and stop the DocRecord Image Service, and then restart the DocRecord Document Service.  Then restart the DocRecord Automation Service.

  8. Re-open the DocRecord Server Manager and go to “Tools > Migrate Thumbnails”.  This tool allows you to migrate the existing thumbnails in the DocRecord database into the storage location you designated earlier in Step 6.  Depending on the size of your DocRecord system, this could take some time to finish so it may be best to run it during an idle period (e.g. over the weekend).

    Note: This step of migrating the thumbnails to a storage location is not necessary in order for DocRecord to function.  However, it is recommended to migrate the existing thumbnails out of the database as soon as possible.


Be sure to upgrade any instances of the DocRecord Desktop Client on all the workstations across your network.  Please note that this will require first uninstalling the previous version of the Desktop Client prior to installing the updated version.
