  1. Stop any DocRecord services that are running (DocRecord Document Service, DocRecord Automation Service, and DocRecord Image Service), and then do a complete backup on the "DocRecord" and "DRAudit" databases in SQL Server.  We recommend using SQL Server Management Studio’s backup tools as opposed to our own, since there may be nuances specific to SQL Server.

  2. Also, backup the DocRecord "Index" folder contained in the installation directory ("C:\Program Files\Prism Software\DocRecord" by default).

  3. If any Document Storage Locations local to the server are being used (as opposed to network storage locations), then those will have to be backed up as well.  The Storage Location section of the DocRecord Server Manager (Start > Programs > Prism Software > DocRecord > Server Manager) will display all the currently created storage locations if they exist.

  4. If any Web Image Storage Locations local to the server are being used (as opposed to network storage locations), then those will have to be backed up as well.  To identify the storage location currently being used, please go into the "Tools > Server Configuration" section of the DocRecord Server Manager and click on the "Other Settings" tab; you should see the storage path listed under the "Image Path" option.

  5. If any Thumbnail Storage Locations local to the server are being used (as opposed to network storage locations), then those will have to be backed up as well.  To identify the storage location currently being used, please go into the "Tools > Server Configuration" section of the DocRecord Server Manager and click on the "Other Settings" tab; you should see the storage path listed under the "Thumbnails Path" option.

  6. Next, on the new server machine, perform a clean installation of DocRecord.  Then, after stopping any DocRecord services that are running, restore the database backups using SQL Server Management Studio’s restore tools.

  7. If either the Document, Web Image, or Thumbnail Storage Locations were local to the old DocRecord Server machine, then restore the backed up storage locations to identical folder paths on the new DocRecord Server machine.

  8. Also on the new server machine, overwrite the existing "Index" folder in the DocRecord installation directory with the backup you made in Step 2.

  9. Then start the DocRecord Document Service and the DocRecord Image Service.

  10. Open the DocRecord Automation Server (Start > Programs > Prism Software > DocRecord > Automation Server) and select “Tools > Update Input Host”.  Select the name of the old machine where DocRecord was installed and click “OK”; you should now see all of the Automation Server input processes listed.

  11. Finally, start the DocRecord Automation Service – at this point, everything should be restored onto the new DocRecord server.

  12. Please be sure to update the DocRecord Web Server (if applicable) to point to the new DocRecord server, as well as all DocRecord client components (e.g. Desktop Client, Index Station, etc.) to point to the new DocRecord server.
